Access RV Utah Rental Terms
Reservation
50% of estimated trip with $400 minimum. Balance Due at time of pick Up. Trip Insurance is available as protection against cancellation.
Payment
An initial non refundable deposit will be secured at the time of booking confirmation. Accepted credit cards include Visa and Mastercard. The remaining balance due will be secured from your Credit Card 30 days prior to the time of pick up of your vehicle. Please arrange to have this available in your account at this time.. Supplier accepts Visa, Mastercard and Discovercard.
Cancellation Policy
Your initial deposit is non refundable. Should you cancel your rental 30+ days prior to the pick up of your vehicle, a $400.00 US cancellation fee will be secured from your Credit Card. If you cancel inside of 30 days prior to pickup, you will forfeit 100% of the money. Cancellation insurance is advisable.
Travel insurance
We strongly recommend that clients ensure they take out the highest level of travel insurance. In many cases this will cover any losses incurred if you are forced to cancel your booking.
Minimum Hire
Minimum Hire is 3 days with the exception of June - August, during this period is it a 5 night minimum.
Mileage:
100 free miles per night, additional mileage at $0.38 per mile. Please note: Mileage rate increases to 55 cents per mile for trips exceeding 250 miles per day average.
Pick Up and Drop Off
Pick up can be scheduled between the hours of 2:00 p.m. to 5:00 p.m. Drop Off must be done between 9:00 a.m. to 11:00 a.m. Mon -Sat. Pick up and drop off times are more flexible during the off season based on vehicle availability. As an alternative to bringing the RV back to our site, for a fee of $10.00, you can drop the motorhome off at our airport parking facility by 11:00 am. The parking facility is open 24 Hours and provides a free shuttle service to your Terminal - see Access RV Airport Express Service below for details. Early Pick Up/Late Drop Off $75.
Sunday Drop Off: Office is closed on Sundays returns are not accepted.
Late Return Charges
Late Returns are an additional $30 PER HOUR.
Access RV Airport Express Service* allows you to avoid the delays and expense of being shuttled to and from the rental office by sending our complimentary shuttle to meet you at the Salt Lake International Airport and transport you to our office. Please contact the supplier on the details provided above for instructions.
*No Airport Express Service available in Jackson Hole, Wyoming.
One Way Rentals
One way rentals are available to the Western States. Drop charges vary by city. Miles are based on returning RV to point of origin.
Drivers License
The requirements of eligible drivers are that they be 25 years of age, have a valid drivers license and be an insurable driver (must have proof of insurance).
Additional Drivers
The person who rents the motorhome is the responsible party but you can also add extra drivers to your contract for $10.00 per additional driver, as long as the drivers you add meet the eligibility requirements.
Insurance
All Access RV's are covered under commercial rental insurance. This insurance is included in your daily rental price. The commercial coverage has a $2000 deductible with state minimum requirements. The supplier will secure a Damage Deposit of $2000.00 unless an optional extra of Collision Deductible Reduction (CDR) is chosen. This is done as a "preauthorization only" on your credit card. Options for a lower deductible are available. Please see the Collision Deductible Reduction (CDR) options below.
Collision Deductible Reduction (CDR)
You can reduce your level of responsibility and damage deposit by purchasing Collision Deductible Reduction (CDR). This drops your level of responsibility and your damage deposit to $600 per accident, in addition to this, you receive protection against incidental expenses associated with the breakdown of the RV. Up to $150 per day for meals, transportation, and lodging if the RV becomes disabled and expenses are incurred.
VIP Protection (CDR + Windscreen and Tyre Protection)
As an addition to CDR, the VIP Protection is available. VIP protection enhances the CDR by dropping your level of responsibility and damage deposit from $600 to $500 per accident and increasing your incidental expense protection from $150 per day to $225 per day. This feature also protects you from the more common mishaps such as tyre and windshield damage. VIP protection will pay for the repair or replacement of a tire that is damaged and will pay 100% of the replacement cost for C-class windshields that are cracked and cannot be repaired. Please note: VIP protection is only available as an addition to CDR.
Damage Deposit
The Supplier will secure a Damage Deposit and the time of pickup of vehicle and is charged as a "preauthorization only" on your credit card. The amount depends on which insurance protection level you choose. See Insurance info above. Any additional monies due at the conclusion of the rental will be charged against the pre - authorized funds with the balance of the amount being released.
Self Insure
Many Insurance Companies will issue “Binders” to their Insured which extends your existing coverage to the Motorhome. This must be Full Coverage Insurance with Access RV specifically named as the additional insured. There will be a $500.00 “Pre-Authorization” for the Security deposit at time of pick up.
Generator:
Generator is only needed for electrical plug-ins, microwave and overhead a/c when you are not plugged into power. All other features such as refrigerator, furnace, hot water, lights, radio, etc... are battery powered. One free generator hour per day is provided with additional hours charged at $3.50 per hour. An Unlimited Generator option is available for $9.95 per day.
Towing
Towing with all our motorhomes requires prior permission at the discretion of the Supplier. Please make note of your request to tow with the motorhome at the time you book your reservation. A $35 towing charge will apply.
PLEASE NOTE: The motorhome provides no collision or liability coverage for damage to the towed object, or for any third party injury inflicted by the towed object. RV's are not wired for electric brakes. Trailers over 3000lbs are not allowed.
Substitution
In the event the RV is unavailable, Access RV, Utah reserves the right to substitute a comparable or higher grade model. Should a lower grade model be offered and accepted, rates will be limited to the cost of the lower grade model.
Pets
Pets are not allowed in any of our motorhomes or travel trailers. $75 (Managers Approval Required). Additional cleaning charges will apply for pet hair, odor, etc.
Smoking
Smoking is NOT allowed in our rental units. A $500 deodorising fee will be charged for smoking order at the discretion of the Supplier.
Restricted Areas
Motorhomes are to be limited to use on paved roads. Trips into Mexico are not permitted. Travel through extreme desert areas such as Death Valley during hot periods is prohibited. If you have questions do not hesitate to ask during your booking request or alternately contact us on the details provided on your confirmation invoice.

Our total liability to you in relation to your use of this website and the information contained on this website will not exceed the dollar amount of the deposit we have received from you in relation to your booking/rental. Refunds will not be made for bookings cancelled due to inclement weather. Again, we strongly recommend that you take out travel insurance. To make a booking you must complete our booking form which is easy to follow and secured with the latest encryption technology. Once we receive your form, we will, subject to availability, confirm your booking by emailing you a confirmation voucher and invoice. The deposit required to secure your vehicle (as shown on the secure booking page) will only be processed on your credit card when your booking is confirmed. Please note that a 1.75% credit card charge will be added when your payment is processed.
A booking is confirmed when you have been emailed a confirmation voucher and at this stage the deposit is processed on your card and becomes non-refundable and any cancellation fees stated in the supplier's terms apply. Upon receipt of your confirmation, please check your details carefully and notify us immediately if there are any incorrect details, as it may not be possible to make changes at a later date.
If you are booking via phone, please make sure you have read the terms and conditions of the vehicle you wish to rent first. Our reservations consultant will ask you if you have read the terms and agree to them before proceeding. The onus is always on the renter to ensure they make themselves fully aware of the terms displayed on our website.

If the rental period is shortened which results in a reduction of the rental charges, the deposit amount will remain unchanged, and the difference between the original and revised deposit is forfeited (it cannot be used towards remaining rental charges). To request a change to a confirmed booking, please use the alterations request link on your confirmation. Any alterations are subject to availability and the approval of the supplier. In addition to the alteration policy of the supplier stated in their terms, the following charges will apply:
Car rental alterations (all charges stated in local currency):
To change dates or times that result in a recalculation of rental rates, or to change vehicles or locations: 25.00
To add or remove extras to/from a confirmed booking: 10.00
Motorhome rental alterations (all charges stated in local currency):
To change dates or times that result in a recalculation of rental rates, or to change vehicles or locations: 75.00
To add or remove extras to/from confirmed booking: 20.00
The alteration fee will not be charged if your alteration request is not possible.
Vehicle Capacity and fitness to drive
Under no circumstances are you permitted to carry more passengers than the vehicle you rent is legally registered to carry, and if you do your insurance may be invalidated. The number of seatbelts (and passengers) is indicated next to each vehicle on this website. Luggage capacity where shown is an indication only and we will not be responsible should you be unable to fit your entire luggage into a vehicle. It is your responsibility to choose a journey that is within your capabilities. A vehicle supplier can refuse to rent a vehicle to any person who is in their opinion unfit to drive or does not meet eligibility requirements. In such circumstances we will have no further liability to you.
